Sometimes guests have to leave early due to many reasons.
If you want to resell the room again then you would have to follow the below steps to release the room and generate a bill for the guest.
If the guest has already paid
Under Room Billing > select the guest's Room
- If on the day before the check-out date > click the Auto Poster button
- this will auto-charge the cost of that night rate (be careful if upsells are added these will also post)
- If the guest has other nights left and you are charging then you will have to manually add the charge by clicking New Charge using the Free Type section
- Once the Bill is at Zero you can then click the Check Out button
- It will state the room is not due to be checked out and you will have to:
- Choose a Housekeeping Status
- Tick Override
Once all has been filled in you can then click Confirm, this will check the room out.
If you are returning funds to the guest
If the guest pre-paid their room rate but you are going to return any of the remainder night's monies to them then you need to follow the below process.
Under Room Billing > select the guest's Room
Depending on how the money was taken will determine how you refund the money back.

Payment Gateway
- Click on the Booking Reference at the bottom right
- Guarantee Tab > Click Refund by the token > Enter the amount to be returned > Click Refund
- Options (...) > Room Billing > Add Payment > Enter a minus then the amount on the correct paytype required i.e -220 > Click Post

Integrated Card Machine
- If the payment was taken upon arrival on the room bill, click > Refund
- Choose the card machine > Enter the amount to be returned > Click Refund
- Once the Bill is at Zero you can then click the Check Out button
- It will state the room is not due to be checked out and you will have to:
- Choose a Housekeeping Status
- Tick Override
Once all has been filled in you can then click Confirm, this will check the room out.
If you do not wish to re-sell the room for that night then you MUST block that space by adding a room maintenance issue.
