Notes & Logs is the third tab of the Reservation Screen. Information added here can be used for reporting. This data is visible in the reservation and follows the guests journey from arrival to check out.
Notes
Private Notes and Public Notes are standard note fields. 3 further note fields are available. They are typically called 'Food & Beverage Notes', 'Housekeeping Notes' and 'Confirmation Notes'. If connected to Guestline's Distribution Channel Manager an additional Note box called 'Roomlynx Notes' will appear on any reservation received via it. Notes appear on the Guest List reports in the Reservation Items.
Housekeeping Notes are set as a default to pull through onto the Room Status Report for the Housekeeping department.
Attributes
Reservation Attributes are additional fields which can be built to allow extra information to be entered in the Reservation. Like the notes, these can be selected to appear on Guest List reports.
Logs
Under the Misc section, you can view Simple or Detailed Logs which will detail all activity on the reservation. Simple logs are viewed within the screen, whilst Detailed Logs open in a seperate window and can be viewed in several formats.
Each log entry is Timestamped against the Operators Username.
Excluding from Template Automation
There may be occasions when you do not wish to send templated emails for particular reservations, but still wish to use the automated template for others.
These can be disabled from within a reservation by ticking ‘Exclude from Template Automation’ on the 'Notes and Logs' Page or from the Misc Page from an Event when using Standard C&B.
This feature enables an operator to determine if a reservation should be excluded from the automated template emails.
