Supplements are used to create additional accommodation charges depending on the level of occupancy in the room.
For example, for 1 and 2 persons in the room it may be that the normal charge per room/per person will be charged, if there is a third guest in the room a discount may be applied for the selected Rate Plan.
- To create select New.
- Enter the Code, Group & Description.
- Press Save.
On the left hand side of the screen, the new Group Code, Code and Band 1 for the new Rule can be selected. (Remember to click on the “Plus sign” next to your Supplement code group to show the supplement below it)
As for Rate Rules which can be banded (Seasonal Rules), Supplements can also be created with Bands, for example a single occupancy surcharge may not be charged during quieter times, e.g. Winter and Spring.
As many new Bands can be added as required by selecting New Band – this will create a list of Bands displayed under the Supplement Code.
You must amend the dates on Band 1, then you can add the additional bands with subsequent dates.
Once each Band has been created, it is then possible to Edit each Band for the Supplement Rule
Select the required Band ID from the left hand side of the screen located under Code, i.e. Band 1, Band 2
Once the Band has been highlighted, the Supplement Rule will appear.
There are two different ways to Edit the Supplement Rule depending on the type of Rate Plan the Supplement Rule is to be used for.
The screen is split into two areas – Charge Mode Daily Per Room and Charge Mode Daily Per Person.
The correct area of the Supplement must be edited depending on how the required Rate Plan which will use the Supplement Rule is charged – Daily Per Room or Per Person.
If the Supplement Rule is to be used on a mixture of both Rate Plan Types, then both sections of the Supplement Rule must be edited and completed.
Once complete, the Supplement Rule can be created. The Table for the Supplement Rule Consists of four columns
No Occupants – Number of Guests per room, this will determine how the value of the Rate Plan will be affected depending on the level of occupancy in the room booked
Rate Table – The Rate Table to be used which will use this Supplement Rule, more than one Rate Table can be used in a Supplement Rule if required
Modifier – The Parameters, how the value will change based on the parameters included, for example discount percentage or to use a flat rate for a certain amount of occupants
Value - This box is only to be used if discounting a percentage or using a flat rate value, the amount or percentage required can be free-typed into this box
The Rate Table and Parameters can now be added for the required number of Occupants
Attaching a rate Table will add on the value of that table or taken away where minus (-) before table values are present
With a Rate Table in place you have the facility to exclude certain room types from having a supplement.
This way the supplement will also be able to be exposed to Roomlynx.
If you apply discount % or amount, again this will add on or take away that percentage or value from the rate table attached and then that remaining value will be applied to the rate.
When not using a rate table the -10 value in the example will take away £10.00 from the rate, equally 10 in the value would add this on
Once completed, select Save and the Supplement Rule is now complete
You can apply multiple supplements for occupants in one Supplement Rule.
