This article will enable you to manage the mapping of your own rooms and rates between Rezynx, Roomlynx and Expedia. At the bottom of each step is a short video that will show you what has been described in that step.

Step 1 – Add conversions in Guestline Distribution
1) Go to Guestline Distribution > Channels > Conversions
Please note, if you are an SSO user, and have Distribution access, you will now be able to access Conversions in Rezlynx as well.
2) Select the correct Property from the drop-down menu
3) Select Expedia from the Channel drop-down menu
4) Select the Room Rate tab
5) Select the Refresh Expedia Rooms & Rates button. This will pull the most up to date room and rate information from Expedia and store it. This is extremely important, as this is what allows you to choose Expedia rooms and rates from the drop downs. Additionally, Roomlynx uses this stored data to send updates to Expedia, so it is vital that this step is performed when mapping something new
6) Click Add Row
7) Select the Rezlynx rate plan to be mapped from the PMS Rate drop-down list
8) Select the Rezlynx room to be mapped from PMS Room drop-down list;
***Note - the room type will only show if it is available on the PMS rate plan
9) Select the Expedia room to map to
10) Select the Expedia rate to map to (Please note: You will only see the rates that are associated with the selected Expedia room type)
11) Repeat points 6 to 10 until all required conversions are added
12) Select Save
13) Ensure that ‘Default’ PMS codes are defined. This will ensure any reservations on un-mapped room/rates can still enter the system.
Note: Any rate plans being mapped to Expedia must NOT exceed more than 31 Max LOS. This setting can be found on the rate plan header in Rezlynx (Nights Per Room from)
Once Mapping has been completed in Roomlynx Conversions, the following Steps MUST BE FOLLOWED to ensure all Rates and Availability update successfully from Guestline Distribution to the Expedia Extranet!
Step 2 – Resync from Rezlynx
1) Go to Rezlynx > System > Tools > Re-sync
2) Under Roomlynx, change Nights to 365
3) Tick Flex Rates. From the drop-down menu select the rate(s) you have mapped. Note – rate plans will only show in Flex Rates if they are using a Flex Table. This step can be skipped for rate plans using a static Rate Table.
4) Tick Restrictions. From the drop-down menu select the rate(s) you have mapped. (Replicate for Ceilings if in place)
5) Click Confirm
Note: Re-Sync's should only be performed when a new room and/or rate plan is mapped. If the rate plan is not a “Flex Rate” Flex Rate Re-Sync is not required.
Step 3 – Check Rates Per Day in Guestline Distribution
1) Go to Guestline Distribution > Configuration > Rates > Rates Per Day
2) Select the mapped rates and ensure the rates are correct
Ensure Price Variances are applied in Roomlynx if required
Step 4 – Check Restrictions Grid in Guestline Distribution
1) Go to Guestline Distribution > Configuration > Restrictions > Restrictions Grid
2) Select Expedia as the channel and ensure that the new rates are displaying with correct Availability and Restrictions
- Apply Closure by Rate in Roomlynx if required
- Apply in Threshold Closure Roomlynx if required
Step 5 – Resync from Guestline Distribution
Note: Re-Sync's from Guestline Distribution only need to be performed when additional configuration is added in Roomlynx, e.g. threshold closures, price variances, etc.
1. Go to Guestline Distribution > Channels > Resynchronisation
2. Select today as the start date and the end date as 365 days in the future
3. Select Expedia
4. Tick Inventory, Rates and Restrictions
5. Highlight the rate(s) you have just mapped
Click Start Resync
Note: Re-Sync's should only be performed when a new room and/or rate plan is mapped.
Step 6 – Check the new rates are updating to Expedia
1. Go to Guestline Distribution -> Monitoring -> Monitoring (Please note, the following screenshots of the Monitoring page show the new Monitoring page available for SSO users, as well as the old Monitoring page)
2. Ensure the interface is updating without red or amber lights on Rates & Availability. Note: check the ‘Last Active’ timestamp to make sure the updates you have just sent have been sent to Expedia. If this timestamp does not show the current time, then the updates are still processing.
3. Once the updates have completed, check that Rates, Availability and Restrictions have updated as expected to the Expedia Extranet.
4. The rooms and rates are now mapped.
5. Check the Expedia website for incorrect rates and/or restrictions. Check the first couple of reservations are correct
Note: If rates, availability, and restrictions are showing correctly on Expedia extranet, but not on their website, then please contact Expedia Partner Support or your Expedia Market Manager for assistance.
