A PayLink or Link for Payment allows you to send a guest a digital link to pay a deposit for upcoming bedroom booking reservations within Rezlynx. This functionality is available for bedroom bookings only.
There is a video at the bottom of this article to compliment the written process below.
CREATING A PAYLINK
A PayLink can be added while creating a new reservation or they can be added to existing future reservations within Rezlynx.
To add the PayLink, navigate to the Guarantee tab within the reservation screen where you will see a section labelled PayLink.
Click the Add button within the section on the right.
Fill in the Due Date section this is the date by which the payment is due to be settled.
The Tax Rule should default to the rate of VAT based on your configuration and should not have to be amended.
The Amount will always default to the full remaining balance but this can be overwritten if only a part payment is required.
Once all the fields have been filled in and checked, click save and a unique PayLink will be created on the reservation. A delete button is also available to delete a PayLink request if you have made a mistake.
Once created you can copy the link using the copy icon if you wish to send this in a separate email to the guest.
If you wish to send a confirmation email to the guest containing the PayLink directly from Rezlynx – the tag for the link must be added to your existing template or you must create a new one within Template Editor.
To send a confirmation email within the reservation click on the print button at the bottom right and select templates.
Select the required template that includes the PayLink tag, tick the email checkbox on the required row and then click Execute to send.
The recipient will receive the confirmation email, within the email the link will be clickable for the recipient to pay the requested amount.
Once clicked the recipient will be taken to the payment page in a separate browser.
The recipient will fill in the card details and the billing details belonging to the card and once filled in can click on Pay with the amount.
If the payment is successful the page will change to show that the payment was successful and provide the token and transaction reference generated by Trust Payments.
This will update the reservation within Rezlynx with the deposit and change the status of the booking accordingly.
The PayLink Overview allows you to view all PayLink transactions and their current status.
To access the PayLink Overview, navigate to the Guest Journey icon, under the Billing menu, and click PayLink Overview.
The report will automatically default to today’s arrivals, with any PayLink Transactions due today in an unpaid status.
To Change the Filters navigate to the filters icon on the top left.
Filters can be easily removed by clicking the “X” on the filters at the top.
You can search by a specific booking ref, arrival and departure dates, booking status, balance due, dates the PayLink was created, due date of the PayLink, the status of the PayLink and dates settled. As you change the filters the overview screen will change.
You can then view the details of each PayLink transaction. You can also click on the blue hyperlink to access the reservation.
If a PayLink has been settled and paid these will appear in a number of reports.
It will appear on your Payment Analysis on the Day that the Paylink has been settled. This can be used in your daily banking for reconciliation.
The same Paylink payment will be visible in Trust Payments in your Transaction Search
Any deposits will also show on your Deposits Held Report against the reservation.
You can send an email from Rezlynx containing the PayLink.
