To access Batch Printing, Navigate to the Guest journey Icon, under the Front Office menu and select Batch Printing.
This feature allows you to view, print or send your guests templates in bulk. This can include templates such as confirmation letters and pre-arrival letters.
The first filter that you have allows you to view reservations based on either the date they were created, your arrivals, departures or resident bookings.
For your Creation, Arrival and departure filters you have several further filter options. You can select the date you wish to view, the booking statuses you would like to include and who you would like to send the templates to, either the lead guest or the contact.
For example, if you wanted to send a pre-arrival email, you could set the date to two days’ time based on your arrivals, include only confirmed bookings and select the lead guest. This would then allow you to send a blanket email to them all, providing they have an email address in their profile.
For the resident filter, the only further option you have is to select whether you send it to the lead guest or the contact.
Underneath, you can see the tick boxes which allows you to print, email, SMS or Fax from the system, you have a tick box at the top which would then select all reservations. If the boxes are greyed out it means that you are unable to use this method, it may be that your property doesn’t use SMS or fax, or it could be that there are details missing from the guest’s profile.
Next, you can see the guest’s details and the contact details that you have saved. This is followed by the template drop down. You need to select the one that you are going to send, there is a ‘Set All’ box at the bottom which will save you time if you are sending several.
Print preview will allow you to preview the template within Rezlynx whereas document preview will open the template in word.
When you are happy with your selections you can press ‘Execute’
