This tab allows you to link bedrooms to your Event that have already been created, or create a new bedroom booking to be linked to the Event.
Inside the configuration for Advanced Conference and Banqueting Ini Settings, you must decide if the property would like to link Groups or Multiroom. From that point on you can use both in the PMS but only link the selected option to an event.
Before taking any action on the bedrooms tab, ensure the event has been saved, as any changes made will be lost when selecting any action buttons on this page.
Select New to create a new multiroom or group, or link, which will attach an existing multiroom or group to the event.
Once attached the tab at the top of the page will change colour once rooms are linked. There is an option to unlink the rooms below if required.
Note – you can change the colour the Bedrooms text shows as in the Ini settings.
- If it is a linked Group- On the first line it is possible to see the number of rooms blocked and picked up. There is also a plus next to the group reference on the left-hand side. When selected, it will show the individual references and information for any picked up rooms.
- If it is a linked Multiroom- It shows in a similar way to Groups, but all rooms will show where the picked up rooms populate.
When bedrooms are attached, the Rooming List on Template Editor can be used to add any room information as a template to the print option in an event. The bedrooms can also be displayed on contracts and function sheets.
Linking the rooms will not pull through the bedroom charges onto the event booking. To do this you must add a charge routing rule.
Should the charges for all bedrooms need to be seen on the Pro-Forma or Event Contracts, then Incl Bedrooms will need to be selected on the main tab of the Event. This will also populate the revenue for Bedroom and Combined on the same page.
