Adding, Amending and Overriding a CRS Reservation

It is possible to make amendments to your reservations and override rates whilst making a reservation, or to existing saved reservations.
 
Room nights can be removed or edited, and additional nights can be added. 
Room changes can be accommodated within the same reservation.  A new booking is not required if the reservation is for the same customer.  

Adding Booking Lines

You may need to add an additional booking line if;

• There is a Manual Rate Change to one of the nights during the guests stay. 
  
• Increasing / Decreasing number of occupants; i.e. Guest is staying for sole occupancy the first night, but double occupancy on the second night.
• Room Moves; i.e. a Bride to be is staying in a Standard room for the first night, but upgrading to a Suite for the wedding night.
• Change in Package; Guest is staying on a Room Only rate for the first night, and a Dinner, Bed and Breakfast rate for the second night.

To add a Booking Line;

1. Go to the Rate Plan tab of the segment.
2. Select Add (to the right of the Rate Plan tab).  
3. A Rate Search Screen will open.  The from date will default to departure date for the existing booking line.  For further information on using the Rate Search, please select here.
4. Once you have selected the rate for the extra night(s) it will appear in the Rate Plan tab as a new booking line below any existing line.  Each booking line has an ID.  

Amending Existing Booking Lines

You don't need to cancel your reservation and book again to make a change.  

To amend an existing Booking Line;

1. Go to the Rate Plan tab of the segment.
2. Select Options (to the right of the Booking Line you wish to amend).  
3. Select Change
4. A Rate Search Screen will open.  The from date will default to todays date, the Specific Room Type and Specific Rate Plan will appear as per the previous option, but you can change these using the filters in the Rate Search Screen.  For further information on using the Rate Search, please select here.
5. Once you have selected the new rate it will appear in the Room & Rate section in place of the previous Booking Line.

You may need to change one night of a multi-night stay, and not all of it.  

To amend part of an existing multi-night Booking Line, for example the 2nd night of a 3 night stay;

1. Go to the Rate Plan tab of the segment.
2. Select Add (to the right of the Rate Plan tab).  
3. In the Rate Search Screen, the date will default the 'From Date' to the departure date of the existing lines.  Use the 'From Date' drop down to select the middle night.
4. Once you have selected the new rate plan you will receive a 'Booking Line Warnings' message notifying which lines will be modified or removed as a result of the change.
5. On confirmation of the change, three Booking Line IDs should be visible in the Room & Rate section.

Removing Booking Lines

If all booking lines need removing, select the 'Remove All Lines' button located in the bottom right of the Rate Plan tab. 
A message will appear to confirm this action. 
Selecting Yes will remove all lines.

If one booking line needs removing, select the Options button to the right of the line you wish to remove, and click 'Remove'.  
A message will appear to confirm this action. 
Selecting Yes will remove the line.

Overriding Booking Lines

To override a rate;

1. Go to the Rate Plan tab of the segment.
2. Select Options (to the right of the Booking Line you wish to amend).  
3. Select Override
4. An Override Rate Screen will open, displaying the current nightly rate (in Gross and Nett) and the breakdown of the rate.
   In the 'Target Override Rate' enter the new rate, and add an explanation in the 'Override Reason' box at the bottom of the form.  Click Override.
5. A confirmation message will confirm the override rate.
6. Once you have selected yes the overridden rate will appear in red on the booking line.

Removing an Overridden Booking Line

1. Go to the Rate Plan tab of the segment.
2. Select Options (to the right of the Booking Line you wish to amend).  
3. Select Remove Override this will revert back to the original rate.
