Overbooking - PMS, CRS & Channel Manager Overview

Overview

The feature is particularly important for sites in city centres, groups or independent hotels with high no-shows and/or cancellation rates. The new Overbooking feature has been designed to allow sites to -

• Distribute more room stock than they have physically available 
• Manipulate stock between Zip and Link rooms where it will later be distributed to a Double or Twin
• To allow complete overbooking on total stock

However, the challenge to successfully overbook without negatively impacting guest satisfaction is determining how many rooms can be overbooked and when. Properties that fail to plan, strategise or have processes to deal with overbooking, typically experience financial loss, negative online reviews and loss guest/partner trust.

In this way, the overbooking feature is disabled by default, but it can be configured by the user (depending on access rights) directly in Guestline PMS, CRS Config and Channel Manager without having to call Guestline support. This configuration is available by site, date, room type, overall value, channel and connections (i.e. properties can distribute overbooking values to some booking agents and not others.), providing hoteliers with the ability to plan, configure and manage their overbookings strategy carefully. Overbooking values will be communicated from Guestline Rezlynx PMS/CRS Config to Guestline’s Channel Manager (Roomlynx) and subsequently shared with channels (where they have been configured to include these values).

Important Information

Best Western

Overbooking values defined at the room type level in Rezlynx will be sent to Best Western CRS. Please note however, that only room type overbooking values are supported by Best Western CRS and not hotel overbooking values.

Channel Manager

Room type overbooking values will be distributed to booking agents, however hotel overbooking values are currently not. Hotel overbooking values will have an effect on restrictions sent to booking agents. The functionality around this is covered in this release note.

Revenue Management Systems

If the Revenue Management System you use supports the sending of overbooking values, these can now be sent to Rezlynx which will in turn update Roomlynx.
