A checklist to guide you through essential checks to ensure that your EPoS tills are ready for day-to-day operations.
Key Checks to Perform
-
Open the EPoS till software
- If the software isn't already running, open it by selecting the Guestline EPoS shortcut on the desktop.
- If you encounter an error while opening the software, check the EPoS server status (detailed below).
- Alternatively, restart the till by holding the power button for 3 seconds to shut it down, then press it again to restart. The EPOS software should automatically reopen.
-
Log in to EPoS with staff PIN
- Use your staff PIN code to log in.
- If your PIN isn't working, try another colleague's PIN to see if the issue is specific to your login. Refer to the configuring users article if you need to reset your PIN.
-
Cash drawer and receipt printer check
- Test the cash drawer by selecting the open drawer option or by processing a transaction, which should also trigger the drawer to open.
- If the cash drawer doesn’t open, ensure it is not manually locked, and check all cables between the till, printer, and cash drawer.
- To test the printer, select an item and press ‘Print bill’, or process a transaction to print a receipt.
- If the receipt doesn't print, check for flashing error lights on the printer and ensure all cables are connected.
- Test the cash drawer by selecting the open drawer option or by processing a transaction, which should also trigger the drawer to open.
-
Perform a self-test on each receipt printer
- Power off the printer.
- Hold the feed button and power the printer back on.
- Release the feed button after 3 seconds to initiate a self-print test. This will confirm if the printer and till roll are functioning.
- Ensure till rolls are correctly placed, and check the print header for debris if the print is faint.
-
Check kitchen printers
- Assign an order to a table to test kitchen printers.
- If kitchen dockets don't print, check for error lights, loose network or power cables, and perform a self-test as outlined above.
Order printer and PED machine paper rolls
- For paper rolls, refer to www.mrpaper.co.uk.
- For hardware and warranty queries, contact Guestline Support.
Check PED machines
-
USB-connected PED machines
- Restart the machine by holding Clear + Function, place it on the base, and wait for the message ‘Waiting for Init’.
- Unplug the USB from the till, wait 10 seconds, and plug it back in. The PED will reload and show ‘EFTPOS’, indicating it's ready for use.
-
Network/ethernet-connected PED machines
- Restart the PED machine as described above, while it remains on the base.
- Restart the EPoS till to refresh the connection.
If you’re unable to log in or process payments, perform a test transaction to check functionality.
Check the EPoS server
If your system has been inactive for a while, ensure the EPoS server is powered on and connected to the network. The tills depend on the server being online to function.
-
Check Server Status
- If you see an error on the tills such as "SQL database unavailable", this indicates a potential server issue.
- Ensure the server is powered on. If it is, but the error persists, contact Support for remote troubleshooting.
-
Restarting the Server
- If the server requires a restart, consult with your IT support first to ensure no other critical software will be impacted.
