Once in the Room Block screen click Link to add your profile to the Room Block, this profile will be the room block contact.
To add a company, agent or third party detail at this stage for tracking purposes (company report) and for forecasting commission due agent (commission report), click on Search next to each of the name to select each required company, agent and/or source.
Select the Start and End dates you want to set the room block up for, then select the forecasted rate plans, the rate plans are not necessarily used on rooms pick up but at least one needs to be selected to save the Room Block, more than one rate can be added if required.
Change the Status code if the default is not correct for this Room Block, consider that some status codes will not affect your availability. Ensure you select a status which will affect your availability if you want to the block rooms out of your stock for the selected night/s.
Note; when a status which does affect availability is used, the box ‘Available for Pick Up’ changes to ‘Yes’
Fill in the room block Description (general name), and a Reference if required in the bottom left-hand corner of the screen.
You will then need to go to the Guarantee tab and select your pay Type from the drop-down, add a credit card if you have one and/or set up ledger account for the block and also add any payment comments required. To add a credit card, follow your Payment Gateway instructions.
Before beginning to add rooms, the Market Source and Media Source Code will need to be set in the Defaults tab. This section can also be used to add notes to each room as they are picked up.
Upsells can be added at any stage prior to picking up your rooms to ensure that chosen products are posted onto the reservations as they are picked up. Note: Any products added in this screen will add to ALL rooms picked up from the group.
To add rooms to the block, select the ‘Block’ tab at the top of the screen
Pressing ‘Show Availability' will allow you to see available rooms for the night selected.
Pressing ‘Hide Availability’ will remove the availability of the block screen.
To add your rooms to the block, click ‘Add Combination’. This will firstly ask for the room type, the number of adults, children and infants and the number of rooms you wish to block off. E.g. If all your rooms are for single occupancy, simply fill in the number of adults as 1, then press apply. If you wish to block a different amount of rooms per room block, please keep the ‘Blocks’ box empty.
If you wish to have double rooms with one occupant, and others with two, simply add another combination of rooms. This will add another line against the room type
Once you have your rooms selected and not added a block yet, you can now add the number of rooms you wish to block in the ‘R’ box
A = number of rooms of that type available
B = number of rooms blocked of that type (as above)
P = number of rooms picked up (at this point this will always show 0)
R = number of rooms remaining to be picked up (at this point this will always show 0)
Once you press ‘save’ the ‘A and B’ column will adjust.
Should you wish to remove one of your combinations, simply select the room type and press ‘remove’. The following warning message appears. Press ‘yes’.
PRESS SAVE in the bottom right-hand corner of the screen - your room block is now created!
Distribution Channels: Select which channels you would like this Roomlynx to affect and click 'Save'
