Filtering
The check-in page offers to primary filters:
- Arrival Date - Defaults to current Date
- Search - Filters by Surname, BookRef, Event Ref Group Ref
When setting filters, the Refresh button must be used to update the results.
Results
Results will display by default in sections of
- Bedrooms
- Functions
- Master Bookings.
An option of 'Group mode' is also available. Activating this will display the Bedroom Bookings by Individual Bookings and then Grouped by Group. Additional filtering will appear in this instance allowing users to choose which they want to display and also giving then a count of remaining bookings to check-in, within in each grouping.
The ordering of results in each table can be achieved by clicking on the column headers of the results.
The number of remaining bookings to check-in will appear at the top of each results table
It's Important to note that Group Mode setting and the order set for the results will be cached (remembered) for each user, so that they remain in place for the next visit to the page.
Next to the assigned room, you will see a colour line that indicates the housekeeping status for your property for a bedroom check-in.
If a room is not assigned – no number will appear and you will be asked to assign it as part of the check-in process.
To check in a room you can:
- Click the icon on the far right against the booking you wish to check-in
- Tick the required booking (s) on the left and then either;
- Click Check In, or
- Quick Check-In – this will bypass various checks, including the ability to input guest details, upsells, alarm calls, etc It will also NOT post any products added with Auto Add ticked in the configuration.
To check rooms that share the same booking reference, i.e multi-room or group, without having to manually tick all bookings required, you can;
- Tick Group Mode
- Tick one of the bookings and it will automatically tick all bookings sharing the same reference
- To check in all at once you can use Quick Check In
Masters can either be checked in prior to the bookings or if you check in a booking (s) linked with a Master the system will auto-check the Master in at the same time.
When using the Check-In button or Icon, it will proceed to the Check-In Confirmation page.
You will see:
- The Booking summary, shows the total for the stay, the deposit paid, and the remaining balance
- Any notes added to the reservation and add any additional notes you wish to make
- The guest name (Options to edit the profile or Unlink the profile or Link to create a profile)
- The ETD (estimated time of departure)
- The value box where you can enter the payment amount along with the payment type
- Newspapers, select the newspaper the guest would like to order and press Ok
- The alarm call and update the credit limit
- The interface Posting Mode is relevant to any possible interface such as EPOS and the call logger
- All Allowed – all charges from interfaces can be posted onto the guest bill
- None Allowed – no interface can post onto the guest account
- Phone only – The guest can make phone calls
- Extra Upsells that can be added
- Reg Card to print the registration form if required.
Please select Confirm to complete the Check-In.
